The baseline licence.

Dynamics 365 Team Member is the lightweight per-user licence for users who consume Dynamics 365 data but do not operate as functional users of any one Dynamics 365 application. The licence is sold as a single SKU; the per-user-per-month rate sits at a single-digit percentage of the corresponding Sales Enterprise, Customer Service Enterprise, Field Service, Finance or Supply Chain Management base licence.

The Team Member licence is read-light: the user can read data across most Dynamics 365 application records, and can write on a narrow set of activities specified in the product terms. The entitlement matrix.

The Team Member entitlement matrix carries five rows. The user can read on Dynamics 365 application records (Sales, Customer Service, Field Service, Finance, Supply Chain Management). The user can create, update and delete on the user's own personal-information records. The user can create and update time-and-expense entries (and submit those entries for approval). The user can act as a self-service user against Human Resources records (personal information, leave requests, expense submissions, performance review entries). The user can act as an approver on workflow approvals.

Activities outside the matrix require the corresponding base licence. The most common boundary-crossing activity is the unrestricted record-create on a Sales or Customer Service entity: a Team Member-licensed user creates an opportunity, a quote, a case or a work order; the create activity is outside the Team Member entitlement matrix and requires the corresponding Sales Enterprise, Customer Service Enterprise or Field Service licence.

The role-assignment trap.

The Team Member security model carries a designated set of Dynamics 365 security roles: the Team Member, Customer Service Team Member, Field Service Team Member, Finance Team Member and Project Operations Team Member roles. The product terms (in the 2022 update) restrict Team Member use to those designated security roles; assignment of any non-Team-Member role to a Team Member-licensed user is a licence-non-compliance position.

The role-assignment trap is the historical drift: an organisation grants a Team Member-licensed user a non-Team-Member security role (the Sales Person, Customer Service Representative, System User or a custom role) because the user needs to write on a specific record class; the role grants the broader entitlement; the licence does not match. The 2019 and 2022 narrowings.

Microsoft amended the Team Member terms twice in the recent product-term history. The 2019 amendment narrowed the entitlement matrix and introduced the designated-security-role restriction (creating the Team Member role variants and restricting Team Member use to those roles). The 2022 amendment further restricted the matrix: the read-on-application-data scope was retained, the personal-information scope was retained, the time-and-expense and approval scopes were retained, and the unrestricted-record-create scope was definitively removed.

The buyer-side reading against the amendment history is the historical-drift question: a Team Member estate sized in the pre-2019 product terms commonly carries Team Member-licensed users on non-Team-Member security roles or on activities the post-2022 product terms do not allow. The reconciliation runs ahead of renewal; the audit posture runs against the post-2022 product terms.

The audit posture.

Team Member audit posture examines three axes: the licensed-user inventory (every Team Member licence, every user, every Dynamics 365 application access), the security-role assignment (every Team Member-licensed user, every assigned security role, every cross-environment role exposure), the activity inventory (every record-create activity, every record-update activity, every approval, every time-and-expense entry).

The principal false-positive pattern is the security-role-on-base-SKU-user: the Team Member security role is assigned to a base-SKU-licensed user (a Sales Enterprise user), which is a hygiene finding, not a licence-non-compliance finding. The principal genuine finding is the inverse: a Team Member-licensed user assigned a non-Team-Member security role. The renewal contest.

The renewal contest is the seat-classification question. The buyer-side reconciliation runs ahead of renewal and answers three questions per seat: does the user demonstrably operate within the post-2022 Team Member entitlement matrix (read-on-application-data, personal-information CRUD, time-and-expense entry, employee self-service, approval action); does the user demonstrably need a base-SKU activity (record-create on a Sales or Customer Service entity, write-on-application-data outside the personal-information scope); is the seat genuinely active.

Team Member is a read-light entitlement with a narrow write scope. The reconciliation classifies every seat against the post-2022 entitlement matrix and the designated security role.
